An opportunity has arisen to join the Group corporate office in one of Ireland’s leading publicly listed companies as Receptionist.  This individual will play a key role in creating and maintaining a professional and efficient group office environment. 

The successful candidate will be a team player, have excellent organisational and communication skills and a very pleasant, professional and discreet manner. It is expected that you have a very flexible attitude and can react appropriately within a busy environment.  

Due to the nature of the role and business requirements, this opportunity is fully office based. 

Reception Duties

  • Act as primary front of house point of contact including reception, telephone and visitor management.
  • Meet and greet all visitors/ colleagues in a friendly and professional manner.
  • Manage all incoming and outcoming post.
  • Receive deliveries and arrange outgoing couriers as required.
  • Ensure reception is clean, tidy and presentable.
  • Assist Office Manager with managing colleague access cards.
  • Sign in all visitors and issue / retrieve visitor access cards.

Meeting Room Management

  • Coordinate meeting room bookings including ensuring that IT support is available as needed.
  • Arrange and oversee catering for meetings as required.
  • Ensure that meeting rooms are set up appropriately and all requirements are met.

Administrative Support

  • Assist group colleagues as required with general administration, preparation of presentations and other documents.
  • Assist the Group Finance Team with Capex database administration.
  • Manage and process reception-related expenses.
  • Support with diary and travel arrangements for colleagues

Facilities Management

  • Maintain the cleanliness and organisation of the office kitchen.
  • Complete meeting room and kitchen inspections – resolve and report any issues to the Office Manager.
  • Monitor and order office and kitchen supplies, ensuring that all necessary items are available and stocked.
  • Under the supervision of the Office Manager respond to office requirements and coordinate resources to resolve issues.
  • Assist the Office Manager with monitoring outsourced contractors on as needed basis for safety and security.
  • Fire Marshalling. Support in any emergency evacuation plans.

Corporate Social Responsibility

  • Co-ordinate regular Head Office CSR meetings.
  • Timely completion of minutes of CSR meetings and maintenance of meetings action log.
  • Assist with CSR event management, set-up and co-ordination as required.

  • Previous receptionist or customer service experience essential.
